By submitting an event inquiry and paying the required retainer, you ("Client") agree to the following Terms and Conditions with Marla Rene Enterprises LLC, doing business as Sugar & Fizz ("Sugar & Fizz"). These terms apply to all private event, catering, and bulk order bookings.

 

1. Booking & Payment

A 50% non-refundable retainer is required to confirm and reserve your event date. Your date is not held until the retainer is received. The remaining balance is due the day before your event via invoice.

 

All payments are processed through secure links provided by Sugar & Fizz. Sugar & Fizz reserves the right to cancel a booking if the retainer is not received within 72 business hours of the invoice being sent.

2. Cancellation Policy

Sugar & Fizz understands that plans change. The following cancellation policy applies to all bookings:

 

        30 or more days before the event: The 50% retainer is forfeited. No additional charges apply.

        15–29 days before the event: The 50% retainer is forfeited, plus 25% of the remaining balance is due.

        8–14 days before the event: The 50% retainer is forfeited, plus 50% of the remaining balance is due.

        7 days or less before the event: The full contract amount is due.

 

All cancellation requests must be submitted in writing to hello@sugarandfizz.co. Cancellations are effective on the date the written notice is received.

3. Rescheduling Policy

We want to work with you whenever possible. Rescheduling is subject to availability and the following terms:

 

        14 or more days’ notice: Rescheduled at no charge. Your retainer transfers to the new date.

        8–13 days’ notice: A $75 rescheduling fee applies. Your retainer transfers to the new date.

        7 days or less: Treated as a cancellation per the Cancellation Policy above.

 

Rescheduled events must take place within 6 months of the original event date. Each booking may only be rescheduled once. If the rescheduled event is subsequently cancelled, the full Cancellation Policy applies from the original booking date.

4. Weather Policy (Outdoor Events)

Sugar & Fizz cares about the safety and enjoyment of your guests. The following applies to outdoor and unshaded outdoor events:

 

        Either party (Client or Sugar & Fizz) may elect to cancel or postpone due to unsafe or severe weather conditions.

        If the Client cancels due to weather: The Client may choose between a 50% refund of the retainer OR a full credit applied toward a rescheduled date within 6 months.

        If Sugar & Fizz cancels due to weather: The Client receives a full refund of all payments made within 10 business days, OR may reschedule at no charge.

        Indoor and shaded outdoor events are not subject to weather cancellation provisions.

 

Sugar & Fizz recommends having a rain date or backup plan in place for all outdoor bookings. Please discuss your contingency plan at the time of booking.

5. Service Requirements

To ensure the best possible experience, the Client is responsible for providing the following at the event venue:

 

        An electrical outlet within 25 feet of the setup area (for The Experience and Display Setup services). If no outlet is available, a $50 generator fee applies.

        An indoor space or shaded outdoor area for setup. Unshaded outdoor setups require prior approval from Sugar & Fizz.

        Adequate access to the venue for setup and breakdown, including parking or loading access as needed.

 

Sugar & Fizz reserves the right to adjust or limit services if venue conditions are deemed unsafe or inadequate upon arrival. No refund will be issued if services are limited due to conditions not disclosed at booking.

6. Cookie Bar Lead Time

Cookie Bar events require a minimum 30-day lead time from the date the retainer is received. Bookings received with less than 30 days’ notice for cookie services are subject to availability and may not be accommodated. The 30-day minimum is firm due to the custom nature of our baked goods.

7. Delivery & Travel

Delivery and travel fees are calculated based on actual drive time and distance from Midlothian, VA using Google Maps routing. The estimated fee provided during the inquiry process is confirmed in your custom quote. Sugar & Fizz will travel outside the immediate Midlothian area and is open to out-of-area bookings depending on distance — please inquire for a custom travel quote.

 

Minimum delivery fees apply: $25 for Party Pack drop-off, $45 for Display Setup and The Experience. Final travel fees are confirmed in your written quote.

8. Modifications to Orders

Final guest counts and order details are due no later than 7 days before your event. Changes requested after this date are not guaranteed and may result in a modification fee. Significant changes to order size or service type may require a revised quote and updated retainer.

9. Cancellation by Sugar & Fizz

In the unlikely event that Sugar & Fizz must cancel your booking due to illness, emergency, or circumstances beyond our control, the Client will receive a full refund of all payments made within 10 business days, or may choose to reschedule at no charge subject to availability. Sugar & Fizz will make every reasonable effort to provide advance notice.

10. Liability

Sugar & Fizz is not responsible for injuries, accidents, or property damage that occur at the event venue beyond our direct service area. The Client assumes responsibility for the conduct of their guests. Sugar & Fizz reserves the right to cease services and leave an event if staff are subjected to unsafe, threatening, or abusive conditions.

11. Governing Agreement

These Terms and Conditions, together with your signed booking confirmation and invoice, constitute the full agreement between the Client and Sugar & Fizz. Sugar & Fizz reserves the right to update these terms at any time. The version in effect at the time of booking applies to your event.
